Preparing institutional tender documentation that survives evaluation

Most disqualifications are administrative, not technical. A short checklist for assembling compliant institutional bid documentation.

Public and development-sector tenders are won on substance, but they are lost on paperwork. In our experience the majority of disqualifications come from missing statutory documents, inconsistent figures between the bid schedule and the summary, or certificates that expire inside the validity period.

Start from the evaluation criteria

Read the evaluation table before writing anything. Build the submission in the same order the evaluator scores it, so each requirement can be located without searching.

Keep a live compliance pack

Tax compliance, registration certificates, audited accounts and manufacturer authorisations should be maintained continuously rather than assembled per tender. Renewal dates belong in a calendar, not in a folder.
